About Student Employment
Student employment provides an opportunity to get connected on campus and work with faculty, staff, and other students while earning a paycheck and gaining useful experience for building a resume. Westminster employs hundreds of students each year to work in a variety of offices and departments. The Student Employment Handbook explains how the program works and outlines employment policies and procedures.

Federal Work-Study Program
Federal Work-Study is a federally funded program that provides job opportunities for students to get valuable work experience while earning money to help pay for college. If you would like to be considered for the program, make sure you select “Yes” when asked if you’re interested while filling out your Free Application for Federal Student Aid (FAFSA). Students eligible for Federal Work-Study will be given priority for campus job openings.

- Once you have accepted the position, there are several steps required of both you and your supervisor to make it official.

New Hire Paperwork
- Once offered a student position, you will receive an offer letter through Westminster’s HRIS system, ADP. This offer letter will be sent directly to your Westminster email, which you must sign before you can begin working. The offer letter will include details such as your start date, your hourly rate, the title of your new position, as well as your supervisor’s information.
- All students new to working at Westminster, or who are returning from an employment gap, are required to complete standard new hire paperwork and onboarding tasks. Once offered an on-campus position, you will receive email notifications regarding these required tasks. You will complete these tasks directly in ADP. All onboarding tasks must be completed and turned in before your start date. If you fail to do so, you will be forbidden to begin working until all tasks are completed.
- Required new hire paperwork includes: I-9 form, W-4 form, Direct Deposit information, and ADP profile creation
- In order to fully complete the I-9 form, you must also show acceptable forms of identification , which you will take directly to the Human Resources office. Human Resources is located on the bottom floor of Bamberger Hall and they are open from 9am-4pm, Monday-Friday. Please know that original documentation is required, and that no photocopies or email copies will be accepted. Your paperwork will not be accepted without the proper, original identification.
- Students hired into positions with significant contact with minors will also be required to pass a background check. Your supervisor will let you know if this pertains to your new job.

Federal-Work Study
- Review, electronically sign, and submit the Federal Work-Study Authorization Form to Human Resources (required of each student Federal Work-Study employee annually)
- Have questions about Federal Work-Study? Drop in or schedule a time to meet with a financial aid counselor.

Verify Employment
Verify your hiring has been completely processed before starting your first day of work. Do this by logging into ADP, under the Helpful Links section select “Time Entry-All Employees,” click “Continue” when the small box appears, and then you will see your profile with all of your active positions listed.
IMPORTANT: If you secure a paid on-campus internship, understand that this position is considered student employment. Student employees may work multiple positions on campus. The total number of hours worked between all positions, including their on-campus internship, may not exceed a total of 20 hours per week while classes are in session (including finals week) during fall and spring semesters. Students are responsible for working with their supervisor to keep total hours at no more than 20 per week. Paid on-campus internships can be found through the student job board.
